Microsoft Outlook is a personal information manager from Microsoft, available as a part of the Microsoft Office suite. Although often used mainly as an email application, it also includes a calendar, task manager, contact manager, note taking, journal, and web browsing.
We can use Outlook for any email provider such as Office 365, Gmail, Outlook, yahoo, rediff mail, or any webmail services smarter mail, server email services etc.
In order to add your email account to Outlook you'll need several pieces of information including the type of account, the incoming and outgoing server names, and the SSL and port settings.
How to set up an email account in Outlook 2016
These steps are the same whether you're adding your first email account or additional email accounts to Outlook. Now we are going to set up a POP/IMAP email account in Microsoft Outlook 2016

If you’ve previously configured Outlook 2016, click the File tab at the top of the window and in the Info category, click the Add Account button.
Select File > Add Account
- After the click on Add account new wizard open
Here we have two option with radio button Email Account and Manual setup or additional server types. If you have office 365 email services or any auto discover email services, you can use Email Account or If you want to add your email with IMAP/POP account you need to click on Manual Setup or additional Server type.
(A) In Auto Account Setup panel, enter the following details for Email Account:
- Your Name: Enter the name you’d like to appear on your emails.
- Email Address: Your full email address.
- Password: Your email account password.
- Retype Password: Enter your email account password again.
Click Next. Outlook will now attempt to retrieve your email server details and set up account access.
(B) For IMAP/POP account you need to click on Manual Setup or additional Server type then Next
Outlook 2016 supports standard POP3/IMAP email accounts, Microsoft Exchange or Office 365 accounts, as well as webmail accounts from a range of providers including Outlook.com, Hotmail, iCloud, Gmail, Yahoo and more.
Once you have clicked the radio button next to POP or IMAP, select Next to proceed with your email account configuration. You’ll need your email server details, username and password to hand.
Enter the following details:
- Your Name: Enter the sender’s name you’d like to appear on your emails.
- Email Address: Your full email address.
- Account Type: Use the dropdown menu to select POP3 or IMAP.
- Incoming mail server: For POP or IMAP accounts use mail.yourdomain.tld if you’re on shared plan (replace yourdomain.tld with your actual domain) or mail.papamail.net if you use Basic/Advanced Email services. Instead of you can use IP address of your email server (XXX.XXX.XXX.XXX).
- Outgoing mail server (SMTP): For POP or IMAP accounts use mail.yourdomain.tld if you’re on shared plan (replace yourdomain.tld with your actual domain) or mail.papamail.net if you use Basic/Advanced Email services. Instead of you can use IP address of your email server (XXX.XXX.XXX.XXX).
- User Name: Your email account username.
- Password: Your email account password.
Now click the More Settings… button.

Switch to the Outgoing Server tab. Check the box next to My outgoing server (SMTP) requires authentication, then click the radio button next to Use same settings as my incoming mail server.
Click On Advance tab
Need to fill the Server porta Number.
Incoming server (IMAP/POP)
IMAP:- 143 Port type None
993 Port type SSL
POP:- 110 Port type None
995 Port type SSL
Outgoing Server (SMTP):-
25 Port type None
465/587 Port type SSL
Then click OK
Now the test setting wizard open for the testing of the account.
Once the test completes successfully, click Next and then Finish to wrap up.
